This article explores the issue of integrating the information systems of state archives with those of organizations that serve as sources of their records. The aim of the study is to propose a model and methodological framework that enables the automated transfer of electronic documents, formed within the electronic document management system, to the archival storage system.
The research involves a comparative analysis of the regulatory and legal framework of archival practices in the Republic of Kazakhstan, the practical use of the Unified Electronic Document Management System, and advanced experience from the Russian Federation in this area.
The scientific novelty lies in the development of an algorithm that automatically compiles electronic files based on metadata and directs them to the archival information system at the departmental level.
The methodology includes system-structural analysis, regulatory review, functional modeling, and comparative methods.
As a result, a model is proposed to ensure compatibility between the Unified Electronic Document Management System of public authorities and archival information systems. The research aims to enhance the efficiency of archival storage processes, reduce dependence on paper documents, and accelerate digital transformation.
